Approved Holidays Pvt. Ltd. believes in a clear understanding between the company and our guests. Please read our terms and conditions before confirming any trip with us.

Booking of the Trip

To book and confirm any tour with us, a deposit of 30% of the total tour cost is required by us. Once you are ready to deposit the amount, we will forward our bank account details to you. As soon as we receive your advance deposit, we will send you the tour confirmation note with other essential information about the tour.

The balance can be cleared before you arrive as laid out below, or paid upon your arrival in Kathmandu.

Mode of Payment

Approved Holidays accepts payment via card or cash. However, Travelers Cheques are not accepted. The balance can be paid in any convertible currency, preferably USD or you can also pay by card. If you choose to pay by card, an applicable surcharge (around 4%) will be added to your balance at the time of payment.

Trip Cancellation

Approved Holidays reserves all the rights to cancel any tour without prior consent from the client if the company deems it to be necessary. This rarely happens but is done for the benefit of the client (for example political unrest) In such a case, the company will send you the information of trip cancellation with the valid reason for doing so. You can transfer your deposited amount to another date for the same tour or to a different tour. In case you don’t want to transfer the amount to another date or tour, we will refund the total amount of money we have received from you.  The company, however, doesn’t take any responsibility for any cost that you may have incurred in preparation for the tour.

If you cancel the tour, no refund will be made. However, if you do change your mind you can transfer the amount paid by you to another date or tour providing at least 45 days remain prior to your original departure date.

Itinerary

All our tours run on the basis of the itinerary included. However, in unforeseen circumstances, there may be a need to change the itinerary during your tour. In such a case the guide has sole discretion. if he/she deems it necessary for the safety of travelers and the crew members.

Cost Inclusion

All our tours have a section that clearly mentions what is included in the cost of your tour and what is not. Please read the “Includes and Excludes” section carefully before booking. All the expenses incurred by you other than mentioned in the itinerary will be your responsibility.

Risk Acceptance

While booking a tour with us, you fully acknowledge that you are going on an adventurous trip that may involve a personal risk. You are well aware that you are travelling to a new political, cultural and geographical setting which is often completely different than your home country. Confirming a tour with us means you are aware of the risk involved and accept that you are travelling on your own risk.

Travel Insurance

You must have valid travel insurance to travel with us. Your travel insurance must cover your personal accident, death, emergency evacuation, medical expenses, loss of luggage, and repatriation charge.

You must provide us with your insurance policy number, emergency contact number of your insurer and other insurance details on the day of your arrival. It is a mandatory provision to participate in any of our tours and treks.

Privacy Policy

We will collect your contact details at the time of your booking which, you fully acknowledge, we will use it for contacting you and sending you information related to the tour. You also acknowledge that we may use your email address to send you our special discount offers and other promotional materials in the future. However, all the information you provide to us will not be disclosed to any third party except our affiliated service providers like airlines, hotels and government authorities at the time of your tour operates.
